Policy Overview
At ShipGenius LLC, we prioritize security. Your information is protected at every level, and we never expose your data to third-party services without your explicit consent.
All data transmitted over the internet is encrypted using HTTPS, ensuring secure data transmission. However, please note that no method is 100% secure, and while we strive to protect your sensitive information, we cannot fully guarantee its security.
Passwords are protected through three layers of encryption: a SHA256 hash, salted, and then peppered. The pepper is stored as a secret value and is the only means by which passwords can be decoded.
Data Collection
ShipGenius collects sensitive information to facilitate transactions through our Payment Processor and Carriers, enabling the purchase of shipping labels. We do not collect your browsing history outside of our own Websites, and we do not use advertising trackers. We do automatically collect certain device and connection information when you access your Account for security and fraud-prevention purposes, as described in the "Security, Devices, and Fraud Prevention" section below. You may receive email notifications regarding marketing, receipts, and account updates. You have the option to opt out of marketing emails.

All Accounts — Collected Automatically
(A) Device and connection information: IP address, browser name and version, operating system, and device type, collected when you sign in and when you make purchases (see "Security, Devices, and Fraud Prevention")
(B) Identity verification status: whether your identity has been verified and related status information reported by our Identity Verification Provider (see "Identity Verification Data")
Identity Verification Data
To keep accounts, payments, and Carrier relationships secure, ShipGenius may require you to complete a verification before certain features — such as purchasing labels or prepaid credits — are enabled on your Account.
Verification may take one or more forms. In many cases it simply confirms that you control an email address or mobile phone number, or confirms details already associated with your Account or payment method; in those cases the information involved is limited to what is described elsewhere in this policy, and no identification document is collected.
Where a document-based identity verification is required, it is performed by our third-party Identity Verification Provider, Stripe, using its Stripe Identity service. In that case you submit an image of your government-issued photo identification and, if requested, a photograph of yourself (a "selfie") directly to Stripe. Stripe processes this information — which may include biometric processing, such as comparing facial geometry between your selfie and your identification document — under its own terms of service and privacy policy, available at stripe.com/privacy. By starting a document-based verification, you consent to this collection and processing by Stripe.
ShipGenius does not receive, store, or have access to your identification document images, selfie images, or any biometric identifiers or measurements. We receive and store only the outcome of the verification (for example, verified or not verified), the verification session status, and, if a verification attempt fails, the reason reported by Stripe. Retention and deletion of the underlying documents and biometric data are governed by Stripe's policies.
Security, Devices, and Fraud Prevention
When you sign in to your Account or perform protected actions — such as purchasing labels or prepaid credits — ShipGenius automatically collects and retains certain information about the device and connection used: your IP address, the browser and operating system reported by your device, and related device characteristics. We associate this information with your Account, your sign-ins, your active sessions, and the purchases you make. You can review the devices and active sessions associated with your Account, sign out other sessions, and report unrecognized devices from your account settings.
We use this information, together with your account, payment, and shipping activity, to operate automated risk assessments that help us detect patterns indicative of fraud or abuse. An automated risk assessment may restrict what your Account can do — for example, requiring you to complete identity verification before purchasing labels or prepaid credits — and that restriction stays in place until the required verification is completed. Automated risk assessments never suspend, terminate, or permanently close an Account on their own; those actions are always reviewed by ShipGenius staff.
Security and fraud-prevention data may be shared with our Payment Processor, our Identity Verification Provider, financial institutions, Carriers, and law enforcement agencies where we believe in good faith that disclosure is necessary to prevent, investigate, or report fraud or other illegal activity, or where we are required to do so by law or legal process.
Third-Party Data Sharing
To provide our services, ShipGenius shares data with the following third-party affiliates:
(A) Financial Partner
ShipGenius works with a Payment Processor to manage all transactions, including ACH, credit/debit card payments, and wallet transactions.
(B) Identity Verification Provider
ShipGenius uses Stripe Identity to perform identity verification. Verification documents and photographs are submitted by you directly to Stripe and are processed under Stripe's privacy policy; ShipGenius receives only the verification outcome and status (see "Identity Verification Data" above).
(C) Carriers
To generate shipping labels and provide real-time ratings and tracking, ShipGenius connects with the following carriers, including but not limited to:
DHL eCommerce
DHL Express
FedEx
Passport Global
UniUni
UPS
USPS
This list is generated from the carriers ShipGenius currently integrates with, so it reflects our carrier partners as of your visit. Carriers may be added or removed at any time.
By using our platform, you authorize ShipGenius to transmit any required sensitive information to these third-party systems.
Data Retention
We store your information securely in a cloud environment, with access restricted to select employees who use multi-factor authentication (MFA). All employees with access are bound by a privacy agreement, restricting data usage to troubleshooting, customer service, and legal compliance.
Shipment history is stored according to the retention policies of the respective Carrier. Payment information is retained for up to 30 days to ensure all Carrier adjustment payments are processed.
Device, sign-in, and security records, identity verification outcomes, and fraud-prevention records are retained for as long as your Account is active and thereafter for as long as reasonably necessary to prevent and investigate fraud, resolve disputes and chargebacks, enforce our agreements, and comply with our legal obligations.
Data Subject Rights
We respect your rights regarding your personal information and strive to ensure transparency and control over how your data is used. Depending on your jurisdiction, you may have the right to:
Access your personal data and request a copy of the information we hold about you
Request the correction of inaccurate data.
Request deletion of your data or account.
Restrict the processing of your data.
Object to the use of your data for marketing purposes
These rights are subject to legal exceptions. In particular, we may retain data that is reasonably necessary for security and fraud prevention, to resolve disputes, to enforce our agreements, or to comply with legal obligations, even after a deletion request.
Children's Privacy
Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we discover that we have collected information from a minor without parental consent, we will delete such information promptly.
Data Processing Agreement
In providing services to Shipper Account holders, ShipGenius LLC acts as a data processor, while the account holder remains the data controller. This means you (the Shipper) determine the purpose and means of processing personal data, and we process it only on your behalf and per your instructions.
Cookies and Tracking Technologies
ShipGenius LLC does not use advertising cookies or third-party analytics trackers. Our websites use essential session cookies to facilitate login and account continuity. In connection with those sessions, we log security information — such as your IP address and the browser and operating system reported by your device — as described in the "Security, Devices, and Fraud Prevention" section above. This logging is strictly necessary for account security and fraud prevention and is not used for advertising.
Limitation of Liability
ShipGenius LLC is not responsible for delays, losses, or damages resulting from actions taken by Carriers, Payment Processors, or other third parties. While we take industry-standard precautions, we cannot guarantee that data transmitted over the internet or stored in our systems is completely secure. Users assume full responsibility for the use of ShipGenius services, including inputting accurate data, complying with all local shipping regulations, and maintaining the security of their login credentials.
Security Breach Notification
In the event of a data breach, we will notify affected users within 72 hours of becoming aware of the breach. Notification will include details on the extent of the breach, what data may have been compromised, and steps you can take to mitigate any potential harm.
Any updates to our data privacy policy will be posted at https://shipgeni.us/privacy-updates. Each update will be dated and accompanied by a summary of the changes made to the policy.
